Annual General Meeting 2013 was held today Sunday 10th March in Mr Browne's Premises in Naas.

A lot of discussion centred on the timing of the AGM.
Kevin apologised for changing the date of the meeting and the general concensus was that the new date didn't work.
There was a proposal by Kevin to hold the AGM at the same time as Jumpstart.This was defeated in a vote.
Trev and Jon White expressed the view that the AGM was a meeting and not a show and that it should be held separately to any other event.David Cole made the point that it was impossible to suit everyone and that we were better of setting a date and sticking to it. It was felt that the having the AGM around the New Year seemed to have worked well in the past and if it was not broken,why fix it. everyone also enjoyed the dinner that went with it and it was felt it was a bit of an Eircooled Christmas dinner and AGM with an opportunity to stay over in a hotel the night before making it quite a social event. Dave Wheatley explained that it was not christian to eat Christmas dinner in February.
It was finally agreed that AGM will be held on the First Sunday in January from here on.
It was also said that it should be noted that although the changing of the date did not work on this occasion,it was changed to try and improve the meeting.Kevin has had a bit of criticism for this but it was done for the right reasons.
Every club needs people who are prepared to put their head above the paraphet and try something.Otherwise,nothing gets done.
There was discussion around the forming of a comittee/steering group for the club as it was felt that as a Club we needed to be a little more organised.This group of people would be elected at the AGM each year.The view was also expressed that we did want to be overly regulated and that this group would use very light handed regulation.No formal decision was made in regard to this as some of the key members were missing and that the matter would be best left until all were present. Two names were proposed for these positions and were accepted.Kevin Reade and David Cole are both prepared to act as an officer of the club.This topic will require a lot more discussion as to how we wish to proceed.
Kevin Reade proposed that a new Gazebo and Banner was required for attendance at shows.This was in order for the club to have a better presence at Shows. It was also felt that every effort should made to meet up and arrive at shows in convoy and for all members to be parked together.
It was also felt that an Eircooled sheet giving details of our vehicles at shows should be displayed on all vehicles.
If an Eircooled Sheet was drawn up with spaces for the details,this could be downloaded and people could edit in their own details and print it off themselves. This would giving some uniformity to the display of our vehicles in a show.
In an attempt to further promote the club it was felt that a A5 size flyer be produced to be distributed at shows and at Vantastival. Dave Wheatley was of the view that a sticker would work much better as people tend to keep stickers,even if they just stick them to the fridge.At least they get kept.
A discussion about the number of advertisors on the forum developed into a discussion about how much money do we need and if we had more what would we spend it on.There was no one present who knew of the state of the club finances so this topic was parked in the absence of this information.
Dave Wheatley felt that if there was money in the club that perhaps some work could be done to improve the speed of the forum.A mirror of the server was mentioned and that the forum could be lighting quick.
Membership of the IVCA was discussed but it was felt that there was no benefit to the club at the moment.
It was noted that Eircooled jackets will soon be availiable with Eircooled logo embroidered on back and front.
These are being organised by Mikey(vwbeetle1500).
According to rez the fit of the jackets is good and a large one fitted him.You can all judge from the size of Kevin as to what will fit you.Cost will be €55-60 each.
Rory mentioned that it was possible to hire a company to handle all the administration for the club.This would be similiar to what the Irish Rail Preservation Society do. Rory will advise on what the cost of this service to club would be.
There was a discussion about the photos for the calendar being submitted by month. The view was expressed that there might be 2 excellent photos in one month and only one would picked even though these two photos could be the best of the year.It was agreed the a photo could be resubmitted the following month.
The Eircooled magazine was felt to be an excellent production and a job well done by Justin.
